Director, Exposition Account Services at AVIXA, Inc. (Fairfax, VA)

The candidate to fill this role will be hired as a full-time exempt employee and will be offered a competitive salary commensurate with experience. The ideal candidate will work from the AVIXA, Inc. Fairfax, VA office or from a remote location agreed upon as part of the hiring process.

Summary of Position:

The Director, Exposition Account Services will be responsible for overseeing the exposition account services team with a total of two direct reports and a team of three people servicing exhibitors at AVIXA for the annual InfoComm USA trade show which generates $18M+ in revenue with responsibilities to include management and space optimization of the InfoComm floor plan; enhanced account service management to returning and new exhibitors; process efficiency for booth design and certificate of insurance; maximize utilization of Mobile app; and new exhibitor programs including Exhibitor Advisory Committee and Attendee Advisory Committee, Exhibitor Onsite Recognition Luncheon, exhibitor & attendee matchmaking tool; collaborate with SVP to create exhibitor ROI tools to aid exhibitors with measuring the efficacy of their participation and generate a report they can share with their internal executive team and bring awareness with all exhibitors of InfoComm's exhibitor programs they can take advantage of as an exhibitor; advanced and online space selection exhibit space management via the Map Your Show software; further development of the sponsorship offerings available to exhibitors; baseline Market Intelligence offering, and expand online/digital exhibitor resource platform. Candidate will be responsible for tracking and generating weekly year-over-year reports used for business intelligence. The Manager is responsible for developing and maintaining production timelines and effective relationships with external stakeholders as well as with internal teams including partnering with event professionals. This position reports to the Senior Vice President of Exposition & Event Services.

Major Duties & Responsibilities:

Exposition Account Services:

  • Oversee direct reports responsible for floor plan management, establish gold-standard service level and execute to ensure an excellent exhibitor experience for returning and first-time exhibitors.

  • Oversee process for capturing booth design consistent with Convention Center and Fire Marshal regulations.

  • Oversee certificate of insurance and Exhibitor Appointed Contractor process.

  • Responsible for the customer experience to exhibitors after the exposition space sales process.

  • Develop a robust New Products Program that provides additional exposure for exhibitors and easy navigation for attendees

  • Serves as the Exposition and Event Services department main point of contact and subject matter expert for use of the Map Your Show management software.

  • Responsible for working closely with MYS to identify new programming and services available for InfoComm annually.

  • Manages the advance and onsite space selection process using the MYS software working with the Director of Exposition Sales and Account Sales Managers.  

  • Manages floor managers and all onsite exhibit hall logistics, serves as exhibit hall liaison with floor managers and Expo Sales Team to ensure quality vendor booth setup; onsite exhibit policy monitoring and compliance, acts as staff contact for drayage/general contractor for all decorating and logistical needs for the exhibit hall.

  • Manages operations of end-to-end processing of confirmation communications for exposition and sponsorship sales, orders, receipts, and invoices. Works with team to coordinate an efficient plan with internal sales team.

  • Manages team who fields inquiries and service questions from exhibitors to resolve questions, complaints or comments through experience, interpretation, and application of best practices.

  • Escalates issues of major impact or technical complexity to upper management or to appropriate internal experts for resolution.

  • Maintains vendor relationships to ensure vendor coordination is of high quality and experience.

Sponsorship Offerings & Fulfillment:

  • Collaborate with SVP on new sponsorship offerings, enhanced online access and introduce e-commerce offering.

  • Manages direct report responsible for working with Exposition Sales Account Managers to collect, coordinate, and fulfill sold sponsorships.

  • Manages direct report responsible for exhibitor sponsorship website pages and updates.

  • Works with team on quality control and to ensure accuracy of content and vendor logos.

  • Collaborate with Sales Account Managers and internal departments to develop timelines, ensures deliverables and deadline milestones are met and efficient delivery of service to sponsors.

New Services and Process Improvement:

  • Supports the operationalization of new service offerings to InfoComm exhibitors and enhancements to customer service and other engagement related services.

  • Identifies and recommends operational and system modifications to ensure

smooth production and delivery of new offerings and programs.

  • Assesses current processes, diagnoses issues, identifies and

recommends improvements; recommends potential changes to policies,

procedures and systems to improve accuracy and efficiency of exhibitor customer services business functions.

  • Works with SVP and team to build continuous improvements in our processes and systems.

  • Manage Mobile App relationship with Map Your Show to customize mobile offering, monetize and enhance sponsorship opportunities, increase utilization, and request MYS to create a video for user tutorial training and exhibitor & attendee matchmaking tool.

  • Collaborate with SVP to manage logistic requirements for Exhibitor Advisory Committee, All Exhibitor Site Visit, Exhibitor Onsite Recognition Luncheon and Attendee Advisory Committee.

  • Conduct research with CEIR and other industry service providers on exhibitor ROI tools.
